Lincoln Sales Assistant FOH

Role Overview

Sales Assistants provide a pivotal role involving triaging new client enquiries to match them with the most suitable legal professional, service, and office location. You’ll be the first point of contact for potential clients, ensuring a smooth, compliant, and professional onboarding experience. This position is ideal for someone who thrives in a fast-paced environment, is confident on the phone and enjoys helping people during what can often be an emotional and challenging time.

Key Responsibilities

  • Respond promptly to new enquiries via telephone, email, live chat, and social media
  • Use emotional intelligence to understand clients legal needs and urgency
  • Identify the most appropriate legal professional, service and location
  • Schedule appointments and manage diaries accordingly
  • Record notes to accompany the appointment booking to fee earners
  • Book meeting rooms and advise re travel | mobility friendly | parking options
  • Take payments on account
  • Create lodgements and ensure all compliance checks are completed
  • Open client files within our internal case management system
  • Follow up on leads and previous enquiries
  • Cross-promote relevant legal services that may be of benefit to the client

Key Performance Indicators (KPIs)

  • Successfully triage 9–12 clients per day following the process above
  • Maintain a 45%+ conversion rate from enquiry to appointment

Skills & Experience

Essential

  • Strong organisational skills and ability to prioritise
  • Excellent telephone manner and communication skills
  • High level of empathy and emotional awareness
  • Confident using Microsoft Office and working within a Windows environment

(Training will be provide for our in-house systems)

  • Able to work within a KPI driven environment
  • Attention to detail with a strong focus on following our step by step process

Beneficial Skills, But Not Essential

  • Previous experience in a legal or professional services environment
  • Knowledge of legal terminology or services

Additional Information

  • Some face-to-face client interaction is required
  • Comprehensive training will be provided
  • Available to cover other branch offices for holidays & sickness
